Raising a maintenance request

Getting a job on the board with the evidence attached.

  1. 1 Open Maintenance and create a job against the property, and the room if it is room-specific.
  2. 2 Choose a category and priority — these drive how the job sorts on the board.
  3. 3 Add photos at the time you see the problem; they are timestamped and stay with the job.
  4. 4 Assign a vendor or a team member so it is clear who is acting.

Photos taken in the iPhone app are downscaled before upload, so a job with a dozen photos is still quick to open later.

Scheduled and recurring work

Smoke alarms, gutters, and everything else that comes round yearly.

Recurring obligations are set up once against the property or an asset, and Girilang raises the job when it falls due. This keeps compliance work off a spreadsheet and into the same board as reactive repairs.

Keeping a key register

Who holds which key, and when it was handed over.

Every physical key, fob, and access code can be recorded against the property and issued to a named person. The register keeps the handover history, so a question about who had access on a given date has an answer.

Record the return as well as the issue. An open issuance is the register telling you a key is still out.

Condition reports and inspections

Evidence at the start, during, and at the end of a tenancy.

Run inspections room by room from the iPhone app, capturing a note and photos per element. The report attaches to the property and the tenancy, which is what makes an entry report useful at the point the bond is being settled.
